Payments & Invoicing

DetailerMade gives you a complete way to get paid: send a card-payment link your clients can pay online, collect deposits up front, log payments you took in cash or check, charge cancellation fees, and refund a payment when you need to — all tied to the job.

Accepting card payments online (invoices, deposits, and cancellation fees) requires a connected bank. Learn how to connect your bank. You can log manually-collected payments with or without a connected bank.


Two Ways to Get Paid

  • Through DetailerMade (card) — send the client a link and they pay by card online. Funds are processed and paid out to your connected bank. Requires a connected bank.

  • Logging a payment you collected elsewhere — took cash, a check, a Zelle/Venmo transfer, or ran a card on your own terminal? Record it on the job so your books stay accurate. Works whether or not you've connected a bank.


The Invoice

Every job has an invoice attached to it, and it moves through a few simple stages:

The default when a job is created — priced, but nothing sent or paid yet.

Invoiced

You've sent the client a payment link and are waiting on payment.

Paid

The job is fully paid.

DetailerMade generates an invoice PDF when the job is created, and a receipt PDF once it's paid — both available from the job.


Sending an Invoice

From the job details, tap Send Invoice. The client gets a text with a link to view the job and pay by card. If a deposit was already paid, the invoice knows — the client only pays the remaining balance.


Logging a Payment Collected Outside the App

Collected payment some other way? From the job details, use Add Payment to record it:

  1. Enter the amount.

  2. Choose the method — Cash, Check, P2P (Zelle, Venmo, etc.), Card (a card you ran on your own terminal), or Other (type your own).

You can log as many payments as you need — perfect for a deposit now and the balance later, or splitting a payment across methods. Once your logged payments add up to the job total (or more), the job is automatically marked Paid.

There's also Mark Paid for when you simply want to record the full job total as paid with one chosen method.


Deposits

Deposits let you secure a booking by collecting part of the total up front. You control this under Business Profile → Booking & Payments:

  • Require card — require clients to add a card to book.

  • Deposit percentage — collect a set percentage of the job total at booking (up to 20%). You can't set a deposit above 0% unless Require card is on. You can also require a card without taking a deposit.

How it works on an online booking:

  • When a client books and you have a deposit set, the deposit is charged to their card at the time of booking.

  • If the deposit payment fails, the job isn't booked — so you're never left with an unpaid hold.

  • The deposit is recorded against the job. To collect the rest, send an invoice (it automatically subtracts the deposit already paid) or collect the balance another way and mark the job paid.

Note: Deposits are collected on online bookings. When you create a job manually in the app, no deposit is charged automatically.


Cancellation Fees

You can set a cancellation policy under Business Profile → Booking & Payments — a cancellation fee (a percentage of the job total), a cancellation window (for example, 24 hours before the appointment), and whether clients are allowed to cancel online.

How it works:

  • The cancellation terms are locked to the job when it's booked. If you later change your policy, already-booked jobs keep the terms the client agreed to — so no one is surprised by a higher fee than they signed up for.

  • If you allow online cancellations and a client cancels within your cancellation window, they're required to pay the cancellation fee to cancel the job.

  • If a client cancels by contacting you directly instead of online, handle that fee with them as you see fit (for example, by logging a payment for the agreed amount).


Refunds

Need to give money back? From the job details, you can refund a payment that was made through DetailerMade — either the full amount or a partial amount.


Fees

Card payments processed through DetailerMade have a processing fee of 2.99% + $0.30 per transaction. For how and when funds reach your bank, see Connecting Your Bank.
