Gift cards let your clients buy a prepaid balance for your business and send it to someone else. The recipient gets a link by email or text, claims the card, and uses it to pay for a detail with you. You can also create a gift card yourself and give it to a client for free.
Gift cards are included on every DetailerMade plan. Owners and admins manage them.
Before You Start
To sell gift cards, your bank account has to be connected, the same as for any card payment. If you haven't done that yet, see Connecting Your Bank. You can give a client a free gift card without it.
Setting Up Gift Cards
Open the Business tab and tap Profile.
Go to the Booking & Payments tab and scroll to the Gift Cards card.
Check that Sell gift cards is on. It's on by default. Turn it off if you don't want to sell gift cards.
Pick up to three preset amounts. The choices run from $10 to $500.
Leave Allow custom amount on if you want clients to type their own amount. The most a single card can hold is $2,000.
Choose an Expiration. Cards never expire by default. If you set one, the shortest option is 1 year.
Tap Save.
While gift cards are on and your bank is connected, a Gift a detail link and button appear on your booking page. You can also share the page directly. It lives at your booking link with /gift on the end, and you can copy it from the + button under Gift Card Link.
How a Client Buys One
No account is needed to buy a gift card.
The buyer opens your gift card page and picks a card design. There are classic, birthday, and holiday styles, and each one shows your logo.
They choose an amount.
They enter their own name and email.
They enter the recipient's name and an email or phone number, and can add a personal message.
They pay by card. Clients who are signed in can use a card they already have saved.
The recipient gets an email, a text, or both with a link to their gift card. The buyer sees a confirmation screen with the gift card code. The buyer isn't emailed a receipt, so they should save the code from that screen.
A gift card is only good at the business it was bought for. It has no cash value.
How the Recipient Claims It
The recipient opens the link, taps Claim this gift card, and signs in with their phone number. The card can be claimed when the phone number or email on their account matches what the buyer entered. A forwarded link can't be claimed by an account that doesn't match.
Once claimed, the card shows under Gift cards on their account page with the balance that's left.
Using a Gift Card
When the client pays online. On the payment step of a booking with a deposit, or on an invoice, the client picks a gift card or types in a code and chooses how much to apply. They can use part of a balance, and they can combine more than one gift card. Anything left over is charged to their card.
Two things to know:
Gift cards don't cover tips. A tip is always charged to a card.
A booking with a deposit still needs a card on file, even when the gift card covers the whole deposit. That card is for the balance due at service.
When you take payment yourself. Open the job. If the client has a gift card with you, a Gift Cards card appears on the job details page.
Tap the gift card.
Enter the amount, or tap Full amount. You can't apply more than the job has due.
Check the box confirming the client gave you permission.
Tap Apply.
If a job is cancelled, any gift card amount used on it goes back onto the card.
Giving a Client a Gift Card
You can create a gift card for a client without charging anyone. Use it for a thank-you, a make-good, or a giveaway.
Tap the + button and choose Gift Card. You can also open the client, go to the Gift Cards tab, and tap NEW.
Pick the client, enter an amount, and add a message if you'd like.
Tap Create Gift Card. If you started from the client's Gift Cards tab, the button says Create.
The card is ready to use right away. The client doesn't need to claim it. They get an email, a text, or both, depending on the contact details you have for them.
Managing Gift Cards
To see every gift card your business has sold or given out, including ones nobody has claimed yet, open the Business tab and tap Gift Cards. Tap a card to see who bought it, who it's for, and where the balance went.
To manage a card, open the client and go to the Gift Cards tab. It shows every card attached to that client, the balance left, and the status.
LINK attaches a gift card to this client using its code. Use it when a client has a code but hasn't claimed it.
Unclaim undoes an accidental claim. It only works while none of the balance has been spent.
Cancel gift card voids the card. You'll pick a reason. For a purchased card, the unspent balance is refunded to the buyer's original card and the buyer gets an email. For a card you gave away, the balance is removed. A card has to be attached to a client before you can cancel it, so use LINK first if nobody has claimed it.
View transactions shows where the balance went. If you applied too much to a job, tap Correct on that line and enter the lower amount. The difference goes back on the card.
Unclaim, Cancel gift card, and View transactions are in the menu on each card.
Good to Know
Gift card codes look like
XXXX-XXXX-XXXX.Owners and admins get a notification when someone buys a gift card for your business.
Employees can see a client's gift cards and link one by its code. Only owners and admins can create, apply, cancel, or correct them.
Pro Tip: Put your gift card link in your Instagram bio and on your receipts in November and December. Holiday gift cards bring in new clients who have never booked with you.
